The hotel names, prices, contacts, and service details in the download are historical examples, not current offers or recommendations.

What the Comparison Sheet Includes
| Category | What to review |
|---|---|
| Availability dates | Whether the requested dates and room quantities are available. |
| Contact | The hotel representative responsible for the quote. |
| Room rate | The quoted rate and occupancy basis. |
| Complimentary room | The qualification conditions and permitted use. |
| Hospitality-room cost | The charge if the stated room-reservation conditions are not met. |
| Parking | Parking charges and the charging basis. |
| Amenities | Relevant facilities and transport features. |
| Meeting-room cost | Charges or waivers linked to accommodation or food-and-beverage commitments. |

The existing footnotes also discuss taxes, audiovisual rental, billing, and transport. Replace them with current quote-specific details. Do not carry sample claims about all hotels into a new comparison.
How to Compare Hotels on a Consistent Basis
1. Define the stay and event requirements
Record the destination, check-in and check-out dates, number of nights, number of rooms, occupancy, and meeting dates. For an event, add meeting capacity, room layout, breakout spaces, accessibility needs, and essential equipment.
The original availability examples use different dates. Before comparing rates, ask each provider to quote the same requirements or clearly identify any differences. A cheaper offer for another week is not a like-for-like option unless your dates are flexible.
2. Collect fresh, dated quotes
Replace all hotel names, sample contacts, and old figures. Add the quote date, source, reference, and expiry or hold deadline. Record whether availability is confirmed, provisionally held, or still subject to change.
Use one comparison currency and state any conversion basis. If rates vary by night or room type, retain the detailed breakdown rather than multiplying one advertised rate across the whole stay.
3. Separate room prices from the full cost
Record whether taxes and mandatory charges are included. Add applicable parking, breakfast, transport, internet, meeting-space, audiovisual, and other required costs without counting the same inclusion twice.
For a group, distinguish what the organizer pays from what attendees pay directly. An organizer’s low meeting-room bill does not describe the group’s total accommodation cost.
4. Read the conditions attached to concessions
A complimentary room or meeting-space waiver may depend on room pickup, qualifying room nights, or food-and-beverage spending. Record the exact basis from the quote rather than shortening it to “free.” Note any shortfall charges and ask the provider to explain unclear terms.
Add rows for deposits, payment dates, cancellation terms, room-block release dates, and unused-room commitments where relevant. These are suggested additions; the original table does not provide a complete contract-terms checklist.
5. Verify practical suitability
Compare travel time to the venue, transport options, arrival arrangements, and facilities that matter to your travelers. Confirm specific accessibility requirements directly instead of relying on a general amenities label.
Replace the sample staff ratings with dated, factual observations, such as “Revised quote received within two working days.” Avoid retaining old judgments about named hotels as if they describe current service.
6. Summarize the choice and open questions
Explain why the preferred option fits the requirements, what remains unconfirmed, and when a decision is needed. Keep the written quote and eventual booking agreement with the comparison. Completing the table does not reserve rooms.
Hotel Cost Comparison Example
This hypothetical example compares one room for three nights in one currency. It assumes the quoted room charges include the required taxes and fees, and parking is needed for three days.
| Item | Hotel A | Hotel B |
|---|---|---|
| Room charge per night | 120 | 135 |
| Three-night room total | 360 | 405 |
| Parking for three days | 45 | 0 — included |
| Required breakfast for three mornings | 36 | 0 — included |
| Comparable stay total | 441 | 405 |
Hotel B’s nightly room charge is higher, but the stated stay total is 36 lower after the required extras. This does not settle the booking decision: location, room suitability, and cancellation terms still need review. The totals are an example calculation, not formulas already installed in the Word download.
For a group event, expand the calculation to the actual room nights and separately account for meeting charges, catering, and applicable concessions. Do not multiply a per-event cost by every room or assume a per-day charge applies only once.
Connect the Comparison to Your Travel Budget
Use an event budget template to organize the wider conference or meeting estimate. Transfer the selected hotel costs once and identify any items already included in a package.
For personal travel, use a vacation budget template alongside the comparison. Keep booking and pre-departure actions in a vacation preparation checklist.
After a business trip, our expense report templates provide separate reporting layouts for actual costs. Distinguish company-paid charges from employee-paid expenses eligible for reimbursement.
Editing and Printing Tips
Keep a blank master after removing historical sample data. Rename hotel columns and add only the rows needed for your comparison. If six columns make the text too small, compare fewer options per page or use a continuation table.
Review table widths, wrapped text, footnotes, and page breaks after editing. Keep conditions next to the price they qualify, and inspect any exported PDF before sharing.
Frequently Asked Questions
Is this hotel comparison template Word or Excel?
The download contains a Word .docx document. It is a manually maintained comparison table, not an Excel cost calculator.
Are the displayed hotel prices current?
No. The supplied document is a populated historical example. Replace its rates, dates, contacts, amenities, and booking conditions with fresh quotes.
Can I use it for a family holiday?
Yes. Remove group-booking and meeting-space rows that do not apply, then add room capacity, meal inclusions, cancellation terms, and other relevant details.
Does it calculate the cheapest hotel automatically?
No. Calculate comparable totals separately and review nonprice requirements before selecting an option.
Can I edit it in Google Docs?
You can try importing the Word document. Check the wide table, footnotes, and page layout because formatting may change.
Does completing the sheet confirm a booking?
No. Obtain the provider’s booking confirmation and retain the agreed terms separately.
