A letterhead template helps present business correspondence with consistent branding, contact details, and sender information. Add your company identity, write the message, and complete the date and signatory details before sharing the letter.
This free Word design includes a company-logo placeholder, company name, contact information, sample body text, and a sender block. Use it as an editable starting layout for business letters rather than designing the page from scratch.

What Does This Letterhead Design Include?

- Letter date: A DD / MM / YYYY placeholder.
- Contact details: Street and city address, sample phone numbers, website, and email.
- Letter body: Sample Latin paragraphs to replace with the message.

The branding text and other editable elements are in the document body. The download is not configured with automatically repeating branding in a Word header/footer, and it is not a mail-merge system.

How to Prepare a Business Letter in This Template
1. Replace the company identity
Enter the company name and replace the logo placeholder with an appropriate image. Preserve the logo’s proportions and check that it remains clear at its final size.
Review the full page for repeated placeholders. Some text appears in positioned elements, so editing one visible instance may not update another.
2. Complete the contact details
Replace the street address, city, website, email, and every sample phone number. Label multiple numbers where useful so readers can distinguish a general office contact from the sender’s direct contact.
Include information appropriate to your organization and correspondence. If additional disclosures are required for your business, add the approved wording rather than assuming the sample layout already contains it.
3. Enter the date and recipient
Replace DD / MM / YYYY with the actual letter date. A written month can reduce ambiguity when the recipient uses a different numeric date convention.
Add recipient details, a subject or reference where helpful, and a suitable greeting. Check the recipient’s name, title, organization, and address against the intended correspondence.
4. Write the message
Remove all sample Latin paragraphs. Begin with the purpose of the letter, provide the necessary details, and make any requested action or response date clear.
Keep paragraphs readable and leave room for the closing and signature. Do not retain extra placeholder text merely to fill the page.
For a short internal announcement, our memo template may provide a more suitable structure.
5. Complete the sender block
Replace the Name and Designation fields and review the “General Manager” sample title. Use the sender’s actual role and approved contact details. Leave room for a signature if the completed letter requires one.
Check that the sender block belongs to the person issuing the letter rather than a previous user of the template.
6. Review the complete document
Check names, dates, contact details, attachments, and the message together. Review print preview with the final text in place. Long paragraphs can shift positioned elements or change page breaks.
Save an editable master with approved company details, then create a separate copy for each letter.
Example Sender Block
The following fictional example shows how to replace the sender placeholders:
Kind regards,
[Signature, if required]
Alex Morgan
Operations Manager
Example Services
alex@example.com
[Direct business phone]
Use the role and details that apply to your sender. A title printed on letterhead does not establish authority to make commitments on behalf of an organization.
Prepare Additional Pages Carefully
The supplied body-based branding should not be assumed to repeat on page two. Test a longer letter before using this design for regular multi-page correspondence.
If you need repeatable headers or different first-page branding, configure those deliberately in Word and check the resulting pages. Keep page numbering and continuation references consistent where added.
For broader documents, browse our report templates rather than forcing a lengthy report into a letter layout.
Confirm the paper size, margins, and printable area. Print a completed test letter before producing a batch. Check that logos and contact text remain readable in grayscale as well as color.
When sharing digitally, export a PDF and inspect the exported version for shifted text or clipped content. The Word layout is a document design, not an HTML email template; copying it directly into an email may change its appearance.
If stationery will be printed commercially, confirm the required file format and color specifications with the printer.

For billing, browse our invoice templates. Letterhead supplies presentation and identity; it does not add invoice calculations or transaction fields.
