Salary Certificate Templates

Use these free salary certificate templates for Word to prepare an employer-issued statement of an employee’s pay. Compare eight editable formats, including short annual-salary statements and detailed monthly earnings-and-deductions layouts.

Choose carefully: Templates 01, 04 and 07 confirm employment but do not contain a salary amount. Other files contain example names, salaries or regional payroll categories. Add verified pay information, specify the currency and pay period, and have the completed certificate issued by an authorized employer representative.

Each ZIP contains a Word DOCX document. Extract the file and save a working copy before editing. Review the whole document: several files contain repeated certificate text that may need separate updates. The Word layouts do not provide verified automatic salary calculations.

01. Employment Confirmation Layout — Add Salary Details

Identifies the employee, employee ID, designation and employment start date, with company contact placeholders and a manager signature.

Before issuing: The file does not state any salary. Add the verified amount, currency, frequency and effective date or reporting period. Remove unsupported loyalty/performance claims and review the broad no-liability wording rather than assuming it makes the certificate reliable.

02. Short Annual Salary Certificate

Contains a short statement of employment and annual salary, issue-date prompts, an HR manager name and company details.

Before issuing: Replace Tara Johansen, the Team Leader role, the USD 46,000 example and Samantha Monet. State whether the verified amount is annual gross base salary or another clearly defined measure. Replace the claim about securing bank loans with a factual purpose statement.

03. Portrait Monthly Gross and Net Salary Certificate

Provides a month/year, earnings and deductions table, gross salary, net salary in figures and words, employment details, purpose and authorized-officer signature.

Before issuing: The file uses rupees and categories such as DA, HRA and EPF. Adapt them to actual payroll records and specify the currency unambiguously. Include permanent status only if accurate. Review whether family relationship, date of birth, retirement and other personal details are needed.

04. Employment Letter Layout — Salary Section Required

Contains employee identity, role, joining date, company details and signature, stamp and date prompts.

Before issuing: Despite its salary-certificate title, no pay amount is supplied. Add the relevant pay statement and remove generic praise, awkward wording and unsupported disclaimers. A stamp prompt does not establish that every recipient requires one.

05. Portrait Earnings and Deductions Certificate

Includes company and employment statements, basic salary, house rent, an allowance row, gross salary, deductions, net payable salary and HR/CEO signature spaces.

Before issuing: Correct the grammar and clarify labels such as “Convenience allowance,” “Gross Salary (SRN),” “Income” and “E.O.I.B.” Do not guess their meaning. Add the currency, pay period and issue date. Verify the status and categories against employer records.

06. Employment and Annual Salary Certificate

Combines employment identity and start-date fields with an annual salary statement and HR issue/signature area.

Before issuing: The file repeats a fixed Team Leader role and USD 46,000 salary after the editable role fields. Replace every occurrence consistently. Remove performance praise unless it is appropriate and supported, and avoid wording that promises loan approval.

07. Employment Confirmation with Signature and Date

Provides employee identity, ID, role, start date, company details and a dated manager signature area.

Before issuing: Add salary amount, currency, pay frequency and the relevant date or period. This file is closer to employment verification as supplied. Review its performance claims and no-liability wording rather than carrying them into a factual pay statement.

08. Monthly Pay and Deduction Breakdown Certificate

Includes monthly earnings, deductions, gross and net salary, employment details, purpose and authorized signature/stamp/date fields.

Before issuing: This is an alternative layout with content similar to Template 03. Replace rupee and payroll-category labels as needed, remove unnecessary personal details, and verify the numerical and written net amounts agree.

What should a salary certificate include?

  • Employer: Correct organization name and a contact channel for verification.
  • Issue date and reference: A clear date and internal reference where used.
  • Employee: Name, role, department and an appropriate identifier.
  • Employment information: Joining date and current status, where relevant and verified.
  • Salary basis: Amount, currency and frequency, with clear gross, net or base-pay labels.
  • Relevant period: State whether the certificate confirms current contractual pay or actual payroll for a specified month.
  • Breakdown: Include allowances and deductions only where needed, distinguishing fixed and variable amounts.
  • Authorization: Name, title and signature or approved authorization method of the issuing representative.

If the request only concerns role, dates and employment status, an employment certificate may be more appropriate. For a pay certificate, include the salary information explicitly rather than relying on the document’s title.

Sample salary certificate wording

Adapt this wording to the employer’s verified records and the recipient’s requirements. Brackets mark information to replace; the text does not guarantee acceptance by a bank, landlord, embassy or other organization.

Salary Certificate
Date: [Issue date]
Reference: [Certificate reference]

To [Recipient / To Whom It May Concern],

This is to confirm that [Employee full name], employee ID [ID], is currently employed by [Employer name] as [Job title] in [Department], having joined on [Joining date].

As of [Effective date], the employee’s gross base salary is [Currency and amount] per [Month / Year]. [Add separately identified fixed allowances or other pay information only if relevant and verified.]

This certificate is issued at the employee’s request for [Purpose]. For verification, please contact [Authorized contact details].

[Authorized representative’s name]
[Title]
[Signature / Approved authorization]

If confirming actual monthly payroll instead of current base salary, replace that paragraph with the month/year, verified gross earnings, deductions and net pay. Do not describe an expected bonus or expense reimbursement as fixed base salary.

Gross salary, net salary and annual pay

Label the amount so the reader knows what it represents. Gross earnings are before the employee deductions shown; net pay is the remaining amount for the stated payroll calculation. Base salary and total compensation can differ, so avoid using those terms interchangeably.

For a simple fictional monthly example, basic pay of 2,000 currency units plus a fixed allowance of 300 gives gross earnings of 2,300. If verified employee deductions total 250 and no other adjustments apply, net pay is 2,050. The document must identify the actual currency and period.

Multiplying a monthly base salary by 12 gives an annualized base figure, not necessarily the employee’s actual annual earnings. Bonuses, unpaid leave, changes in salary and other items can affect the total. Keep the basis explicit.

For a separate record of amounts deducted from pay, compare the payroll deduction slip layouts. A salary certificate summarizes selected facts; it does not replace the underlying payroll calculation or prove tax remittance.

How to prepare and issue the certificate

  1. Confirm the request. Ask what information the recipient needs and whether it supplies a required form.
  2. Check the source records. Verify identity, role, dates and pay with the appropriate HR or payroll records.
  3. Choose a suitable layout. Use a short letter for a simple salary statement or a breakdown format when the request needs gross and net figures.
  4. Replace all sample content. Remove example names, amounts, status claims and unnecessary personal fields. Make repeated text consistent.
  5. Review and authorize. Have an appropriate employer representative approve the content and provide a usable verification contact.
  6. Keep a final copy. Export a checked PDF if needed and retain the issued version through the employer’s document process.

Use approved employer stationery where appropriate. A sample letterhead template can help organize contact details, but the design itself does not authenticate the employer or the salary claim.

Frequently asked questions

Are these salary certificate templates in Word or PDF?

The eight downloads contain editable Word DOCX documents inside ZIP files. A separate PDF is not included. Export a completed and authorized document to PDF if that suits the recipient’s process.

Which formats include a salary breakdown?

Templates 03, 05 and 08 include earnings-and-deductions sections. Templates 02 and 06 include annual-salary examples. Templates 01, 04 and 07 need salary details added.

Is a salary certificate the same as a payslip?

No. A payslip records pay and deductions for a payroll period. A salary certificate is an employer statement of specified pay information and may summarize current salary or a selected period. The requesting organization determines what evidence it needs.

Can I use it for a bank loan or visa application?

It may support a request where the recipient accepts that type of evidence. Check the specific requirements first; the recipient may require its own form, recent payroll records or other supporting documents. No template guarantees approval.

Can an employee complete the template?

An employee can prepare a draft if the employer permits it, but the employer must verify and issue the statement through an authorized process. A downloaded template does not itself certify the facts.

Does a salary certificate also serve as a no-objection certificate?

No. A no-objection certificate states an organization’s position on a specific activity. It serves a different purpose from confirming salary, even when both are requested together.
