Quarterly Marketing Budget Template

A quarterly marketing budget template helps you organize marketing expenses across the year and compare how spending is distributed between quarters. Use it to plan allocations for advertising, promotions, research, and supporting activities before approving purchases or campaigns.

The free Excel workbook below displays Quarter 1 through Quarter 4 side by side. It includes expense-entry columns, category subtotals, and percentage formulas. Choose whether your entries represent planned or actual spending and use that basis consistently.

Formula check: The original grand-total formulas can display a blank when Market Research is the only group with spending. Review the correction below before relying on the totals.

What Does This Marketing Budget Worksheet Track?

The worksheet has Expenses and % Total columns for each of four quarters. Its six groups are:

  • Advertising: Print, radio, television, direct mail, point-of-purchase, co-operative advertising, and other costs.
  • Sales Promotion: Trade shows, sales-force promotions, and other activities.
  • G&A: General and administrative support costs such as staff support, telephone, travel, and supplies.
  • HR Development: Training resources, workshops, and education-related costs.
  • Sales Force: Recruitment, compensation, training, and other sales-team costs.
  • Market Research: Staff costs, supplies, telephone, travel, and other research expenses.

These are starting categories, not a requirement to include every sales or administrative expense in your marketing budget. Define the costs your plan covers and avoid including an expense already assigned elsewhere in your business budget.

The download does not include separate budget-versus-actual columns, monthly detail, a full-year total column, campaign results, or ROI calculations. Maintain those separately if your reporting needs them.

How to Prepare a Quarterly Marketing Budget

1. Define the year, quarters, and reporting basis

Update the date and period-ending fields. State which months each quarter covers, particularly if your fiscal year differs from the calendar year. Label the workbook as a planned budget, actual-expense report, or another clearly defined view.

Keep a separate copy for actual spending if you want to preserve the original plan. For a comparison layout, explore the quarterly budget analysis template.

2. Connect spending to planned activities

List the campaigns, channels, and supporting work you expect to fund. Estimate costs from media plans, supplier quotes, staff allocations, and known commitments. Avoid choosing a spending amount solely because the same amount appeared in the previous quarter.

Document the activity and intended result separately from its cost. The worksheet’s percentages describe expense distribution; they do not measure effectiveness or recommend how much you should spend.

3. Adapt the descriptions to your channels

Rename unused Advertising rows for channels such as paid search, paid social, or display advertising. Other rows can represent agency support, content production, email tools, or website work where appropriate. Keep descriptions specific enough that another reader can understand what is included.

For a direct-mail campaign, our direct marketing analysis template is a related resource to review alongside the cost plan.

4. Enter each quarter’s amounts

In the original layout, enter expenses in columns C, E, G, and I. Columns D, F, H, and J contain percentage formulas. Use the detail rows rather than overwriting subtotal cells.

Apply one timing rule consistently. Recording a subscription in the quarter it is paid answers a different question from allocating its cost across the periods it supports. State your chosen basis and use a cash budget worksheet for payment timing when needed.

5. Review totals and changes

Check each category subtotal, the quarterly grand total, and the percentage results. Explain significant differences between quarters, such as a launch, trade show, or one-time production project.

For a trade show or promotional gathering with many individual costs, prepare its details in an event budget template. Transfer the appropriate total into this worksheet once, rather than repeating both the total and its components.

Understand the % Total Columns

Although the column heading is the same throughout the worksheet, detail-row and subtotal-row percentages use different denominators:

  • Detail rows: An item’s expense divided by its own group’s subtotal for that quarter.
  • Category total rows: The group’s subtotal divided by the overall marketing expense total for that quarter.

For example, if paid search costs 1,000 and Advertising totals 2,500, the item’s share of Advertising is 40%. If the overall quarterly total is 5,000, Advertising’s share of the quarter is 50%.

These figures are not the item’s share of annual spending, return on investment, or percentage of company revenue. Clear notes on the worksheet help prevent misinterpretation.

Correct the Grand-Total Formula Before Using It

The original Quarter 1 formula in C51 tests the sum of five groups before calculating a total that includes all six. Market Research is omitted from that initial test. As a result, research-only spending can leave the grand total blank and dependent percentages invalid.

Replace C51 with this formula, which includes all six subtotals in both parts:

=IF(SUM(C16,C21,C29,C35,C43,C50)=0,"",SUM(C16,C21,C29,C35,C43,C50))

Apply the corresponding correction in E51, G51, and I51 using each quarter’s column letter. This preserves the existing blank display when the combined total is zero.

After editing, test a research-only entry and confirm that the grand total includes it. Check the percentage columns as well. Do not sum the entire expense column: it contains both detail entries and subtotals, which would double-count spending.

If refunds or credits produce zero or negative totals, inspect the percentages carefully. A percentage breakdown is not meaningful when its denominator is zero.

Example Quarterly Marketing Allocation

This hypothetical example shows one quarter’s group totals in a single currency. It is not a recommended allocation.

Illustrative quarterly marketing expenses
Group Amount Share of quarter
Advertising 2,500 50%
Sales Promotion 800 16%
G&A 400 8%
HR Development 200 4%
Sales Force 600 12%
Market Research 500 10%
Total 5,000 100%

Review whether the categories reflect your organization’s marketing scope before using a similar structure. Allocation alone does not show whether the activities produced useful results.

Customize and Maintain the Workbook

Add an annual total if needed. A separate summary can add the corrected quarterly totals using =SUM(C51,E51,G51,I51). Sum expense columns only, not percentage columns.

Preserve the approved plan. Keep a dated copy before changing allocations. Record changes and their reasons rather than overwriting the original without a reference.

Keep results in a separate campaign record. Track outcomes such as leads or conversions with consistent definitions. They are not included in this expense worksheet.

Check added rows. Extend subtotal ranges and percentage references when inserting activities. Verify that new amounts contribute to both their group and quarterly totals.

Use consistent units and currency. Enter numeric amounts and format them for display. Changing a currency symbol does not convert the underlying values.

If you need approval for a new allocation, use the expense plan to support a budget proposal.

Quarterly Marketing Budget Template FAQs

Is the template free?

Yes. Download the Excel workbook above and review the site’s usage terms before using or distributing it.

Does it cover one quarter or the whole year?

It displays four quarters side by side, with a separate expense total for each. A full-year total can be added in a separate summary.

Does it compare budgeted and actual costs?

No separate planned-versus-actual fields are included. Keep clearly labeled plan and actual copies or use a separate comparison worksheet.

Can I use it for digital marketing?

Yes. Rename appropriate rows for your channels and supporting costs, while checking that the subtotal and percentage formulas still refer to the correct entries.

Does it calculate marketing ROI?

No. Its percentages describe spending distribution. ROI requires separate cost and outcome data and a clearly defined calculation.

Can I open it in Google Sheets?

You can try importing the .xlsx workbook. Check formulas, formatting, and percentage calculations after import, including the grand-total correction described above.
