A project cost summary template brings item and labor estimates together in one worksheet. List the products or materials required, enter quantities and unit costs, then add labor tasks, hours, and hourly rates to build a combined estimate.
The free Excel workbook below includes Product Expenses and Labor Expenses sections with category totals and a Combined Total Cost field. It is a cost-estimation layout, not a complete project-management or budget-versus-actual system.
Download format: ZIP archive containing one Excel workbook (.xlsx).
Included: Project title and manager fields, 13 product-entry rows, 12 labor-entry rows, section totals, and a combined total.

Before use: Only the first product and labor entry rows contain multiplication formulas. Copy those formulas through the remaining entry rows as explained below. Replace the sample values and correct the labor subtotal label.
Extract the ZIP and open the workbook in Microsoft Excel. A separate Word or PDF file is not included. Review our Terms & Conditions for usage information.
The download does not include separate columns for approved budget, actual cost, committed cost, variance, payment status, or cost to complete. Add those deliberately if your review requires them.
To compare supplier offers before entering an estimate, review our project bids analysis template as a separate supporting worksheet.
Enter the project title and manager, then add an estimate date and version where convenient. State what the estimate includes and excludes, such as delivery, taxes, overhead, or contingency.
Use one currency throughout. The dollar labels are formatting references, not currency-conversion tools. Keep supplier quote dates and other assumptions with the supporting records.
Use a separate row for each item. Describe its specification, enter the required quantity, and match the unit cost to that quantity’s unit. A price per pack cannot be multiplied by an individual-piece quantity without conversion.
Remove the sample entries before relying on the estimate. Include delivery or related charges once, either in an explicitly defined unit cost or in an appropriate separate entry.
Describe each task, estimate the total labor hours, and enter the matching hourly rate. State whether that rate includes overhead or other costs so they are not added again elsewhere.
Distinguish elapsed time from total labor hours. Two people working three hours each represent six labor hours, even if the task lasts three hours.
A project to-do list can support task planning. Use a daily time sheet or another suitable time record for actual hours, keeping estimates and actuals distinct.
Install the missing line formulas before adding entries beyond the first example row. Check each section total against the underlying quantities and rates.
The original Labor Expenses subtotal is labeled “Product Expense Total.” Rename that row to “Labor Expense Total” so readers can identify it correctly.
Check that all required items and tasks are included and that shared costs have not been repeated. Explain uncertainty rather than presenting the combined number as a guaranteed final cost.
If you use the summary to request resources, attach it to a budget proposal with the relevant scope and assumptions.
These references match the original workbook. Adjust them if you move or insert rows.
=G13*H13. Copy it through I25 for all product-entry rows.=SUM(I13:I25).=G30*H30. Copy it through I41 for all labor-entry rows.=SUM(I30:I41).=I26+I42.Check that copied formulas use their own row’s quantity and rate. A blank rate or quantity can produce a zero line total, so zero does not prove that an item has no cost.
If you extend either section, update its subtotal range. Avoid summing an entire column containing detail totals, subtotals, and summaries, which would double-count amounts.
The original sample inputs demonstrate these calculations:
| Cost type | Quantity or hours | Unit cost or hourly rate | Total |
|---|---|---|---|
| Product | 30 units | 5 per unit | 150 |
| Labor | 26 hours | 25 per hour | 650 |
| Combined cost | — | — | 800 |
The sample total is 800 because 150 plus 650 equals 800. Replace these inputs with your own quantities and rates, then check both the first and later rows after copying formulas.
A cost estimate does not show when suppliers or workers will be paid. Use the cash budget worksheet for a separate payment-timing plan.
Likewise, this summary does not measure project completion or calculate earned-value metrics. A low recorded cost may reflect incomplete work or missing entries rather than savings.
For wider operating allocations, review our business budget templates. Preserve the project estimate as a distinct supporting record.
Yes. The ZIP contains the workbook. Review the site’s usage terms before using or distributing it.
No. Only the first product and first labor rows have multiplication formulas in the original file. Copy those formulas through the remaining entry rows.
No dedicated comparison columns are included. Keep a separate labeled actual-cost record or extend the layout deliberately.
Only when you include those amounts in the inputs or add appropriate entries. The workbook has no dedicated automatic tax or overhead calculation.
Yes. Extend line formulas and subtotal ranges, then check the combined total and print area.
You can try importing the .xlsx workbook. Check formulas, formatting, and any copied or added calculations after import.
